Plattekill Public Library

Board of Trustees Meeting

February 14, 2019

 

The meeting was called to order at 7:05 PM with the Pledge of Allegiance.

 

Present were: Will Farrell, President; Luz Ledesma, Vice President; 

Valerie Smith, Trustee; Joe Egan, Trustee; David Padilla, Trustee; John Georghiou, Interim Director; Mayleen Torres-Rivera, Bookkeeper; Donna Ebanks, Acting Director/Secretary 

 

Conference call with Library’s attorney was tabled to the March meeting.

 

Correspondence:

Letter received from MHLS offering to attend a PPL Board meeting to learn more about our library .  The Board accepted this offer and wants to schedule the visit.  The Board Secretary will communicate with the MHLS representatives to determine possible dates. 

 

Financial Report:

Mayleen reviewed the Bookkeeper’s report for the Board.

Items of note:

* NYS Annual Library report has been completed and will be submitted to MHLS for review

* Board discussed the engagement letter from Nugent & Haeussler to conduct a 2018 financial audit for the amount of $5,500.  

* Tax levy check was received from the Town and deposited

* The Budget & Finance Committee proposed possible meeting dates:  Saturday, March 2 at 9am and Monday, March 11 at 5pm

* Mayleen recommended all Board members create Gmail email accounts exclusively for Library business

 

→ Motion to sign the Nugent & Haeussler engagement letter to conduct an audit, complete the AUD report and the 990 form for $5,500 was made by V. Smith and seconded by J. Egan; all were in favor and the motion passed.

→ Motion to approve the January payroll was made by Joe Egan and seconded by Luz Ledesma; all were in favor and the motion passed.

→ Motion to approve payment of the bills was made by L. Ledesma and seconded by J. Egan; all were in favor and the motion passed.

 

Secretary’s Report:

→ Motion to accept the January 10, 2019 regular Board meeting minutes was made by J. Egan and seconded by D. Padilla; all were in favor and the motion passed. 

→ Motion to accept the amended December 13,2018 regular Board meeting minutes was made by L. Ledesma and seconded by D. Padilla all were in favor.

 

 

 

 

Director’s Report:

Was read and discussed

* Proposed dates for public Informational meeting: Thursday, April 4; Thursday, May 2; Saturday, May 4

* Cleaning service will be coming in to perform a complete cleaning of the Library

 

Committee Reports: 

The Personnel Committee needs to meet to plan dates for interviewing Director position candidates. 

 

→ Motion to set the salary range at $50,000 to $60,000 for the Library Director to be hired was made by J. Egan and seconded by D. Padilla; all were in favor and the motion passed. 

 

→ Motion to accept the Surveillance Policy was made by J. Egan and seconded by D. Padilla

 MOTION WITHDRAWN.

 

After input from Valerie regarding compatibility with our Privacy Policy, the motion was withdrawn by Joe pending review. 

 

Unfinished Business:

Dates for Public Informational event was discussed during the Director’s report.

 

New Business:

→ Motion to rescind the last offer to the Town for the purchase of the current Library property was made by J. Egan and seconded by D. Padilla; all were in favor and the motion passed. 

→ Motion to accept the resignation of Lynne Ridgeway was made by J. Egan and seconded by D. Padilla. L. Ledesma abstained; all were in favor and the motion passed.

→ Motion to have attorney Robert Schofield attend the March 14 Regular Board meeting was made by J. Egan and seconded by W. Farrell; all were in favor and the motion passed.

→ Motion to hire John Georghiou retroactively to February 1,2019 as Interim Director until a permanent Director is hired was made by L. Ledesma and seconded by D. Padilla; all were in favor and the motion passed. 

Adjournment:

→ Motion to adjourn at 9:28pm was made by W. Farrell and seconded by J. Egan; all were in favor and the motion passed.
